Class for Teams – How to use powerpoint slides

Being able to present your powerpoint is a common use case when delivering online course content. This can be accomplished in Class for Teams (CfT) using a few ways and will largely depend upon your personal settings. Methods 1 to 3 allow the instructor to control the playback of a powerpoint. If you need to playback audio,  embedded video, or other media elements, use Method 1 or the OneDrive method (method 5) .

Method 1 - Follow Me

The follow me method is considered the optimal way of presenting PowerPoint slides (as well as other file types) inside Class for Teams. This method utilizes the Collaboration ‘Add Files’ Tool which comes with the advantage of both being able to be captured Class for Teams recordings as well as play any audio or video files that have been embedded into the slides themselves. To use the follow me please do the following:

  1. Inside your CfT session click on Collaborate and Files.
    1. Click on New File and then click the Browse. Here, select the file you wish to upload and once it has finished uploading click on Save and Launch.
    2. If you have already uploaded a powerpoint file click on Saved Files instead, then select your Powerpoint file and click Launch.
  2. Once launched click on the lock icon to lock the PowerPoint tab and then click on the follow me slider to activate follow me mode.
  3. (Optional) Click on the Share tab audio slider to enable the playback of any embedded media you may have in your slides such as sound files or videos. Please note that activating this feature temporarily disables all student microphones
  4. (Optional) Click on the button next to Annotations: to enable annotation tools to the following:
    • Disabled – Annotation tools are off for everyone
    • Only Me – Annotations tools can only been used by you
    • Instructors – Everyone with the Instructor role inside the CfT meeting can use Annotations
    • Instructors and Presenters – Everyone with either the Instructor or Presenter role inside the CfT meeting can use Annotations
    • All User – Anyone in the CfT can see and use Annotations (not recommended)
  5. Click on the arrow keys on the bottom or use the arrow keys on you keyboard to cycle through your slides
  6. One finished click on the follow me slider to exit out of follow me mode and do not forget to either unlock your tab or close it entirely.

About Recording PowerPoint Slides

Please note that the follow me method above is the only one capable of being recorded by the CfT recordings tool. The other methods below will not capture your PowerPoint slides.

About Bandwidth

Please note that the follow me method is most resource intensive method. As a result you may experience instances where you or your students will notice CfT start to lag or become unresponsive. If this is the case it is recommended that you or your students (if the issue is on their end) change their settings in CfT so that your device uses less bandwidth.

Method 2 - Presentation mode

The Presentation tool allows you to upload and present PowerPoint, PDF or Word files one slide at a time. When presenting, you can make use of the built in annotation tools to annotate your presentation. Please note that any media that is imbedded into the original file that you are presenting, such as videos, cannot be played.  To access Presentation mode please do the following:

  1. Inside your CfT session click on Collaborate and the Presentations
  2. Choose to either Create a New Presentation (Create Presentations) or Launch a previously uploaded presentation (My Presentations).
  3. If you are creating a new presentation, you can either choose to upload either a PDF, PowerPoint or Word file directly from your computer from the My Devices tab. Or you can use a previously uploaded file from the Files Collaboration tool to create your new presentation from the Files tab. Once either is done, click Create.
  4. When you want to Launch a presentation go to the My Presentations option and click on the Launch Icon to launch your presentation.
  5. When launched click on the lock icon from the newly launched presentation tool’s tab at the top of the screen to lock this tab. Locking this tab will make so students cannot click away from viewing your presentation.
  6. Click the Present button
  7. Use the arrow keys at the top of your presentation or click on each page on the left sidebar to move from slide to slide
  8. Use the built in annotation tools (optional)
  9. When finished click Stop and remember to also unlock or close the presentation tab

Method 3 - Share Screen using 2+ Monitors

The following method requires that you to have at least two or more screen monitors available as this involves sharing your powerpoint using the presenter view (fullscreen) which will take up one of your screens.

  1. On one screen open up your powerpoint file and on another have your CfT session open
  2. In your CfT session click Share, select the Entire Screen tab and share the screen displaying the powerpoint
  3. Click the icons shown to expand/contract the amount your view (optional)
  4. Click the powerpoint file and Enable Reading view (you can use also presentation view on powerpoint to share if you wish but note that this will full screen over your Class for Teams window)

Method 4 - Split Screen on a Single Monitor

This method should be used only if you have one screen monitor to work with, it involves using a combination of the CfT Share feature along with Powerpoint’s reading mode.

  1. Open both your powerpoint file and CfT session
  2. Resize your CfT session and Powerpoint file so that each take up about roughly one half of your computer’s screen width
  3. Click onto your CfT session and then click Share, select the Window tab and share the tab displaying your powerpoint file
  4. Click the powerpoint file and enable Reading view
  5. Click on CfT and your powerpoint file to toggle in between each application

Toggling your Screen

You will need to toggle between each application in order to use its features. Eg. If you want to monitor the chat in CfT you will first need to click on the CfT application in order to use it and then if you want to continue cycling through your powerpoint slides you will need to click on the powerpoint file again.

Method 5 - OneDrive mode

BCIT uses OneDrive to automatically back up files. As an instructor, you decide what files are automatically backed up on OneDrive. If you have your powerpoints on OneDrive, they can be shared in CfT. This method plays the powerpoint transitions, animations, embedded video, and audio. As well, it allows the instructor to toggle between the powerpoint and Class chat to answer questions without interrupting the presentation. In addition, the powerpoint file is not shared with the students.

Steps:

1. Before your class starts, click OneDrive on your desktop taskbar if you have a BCIT-issued laptop. (If not, open Chrome and enter onedrive.bcit.ca in the address bar and then press the “enter” key on your keyboard. Skip to step 4.)

2. Click “view online”.

3. A new Chrome tab opens. If Chrome is not set as your default browser, a different browser will open. In such a case, copy and paste the URL into a Chrome tab.

4. Sign in to your BCIT OneDrive.

5. Click “My Files” on the left side and then locate your powerpoint on the right side.

6. Click your powerpoint. It opens in a slide deck view in a new tab, like below.

7. Click the Class Chrome tab.

8. Click the share button in Class.

9. Under the  “Chrome” tab in the share dialog box, click the PowerPoint tab name. Enable “also share tab audio”. Then click “share”.

10. The Chrome tab screen with your PP slide deck now appears. Click the presentation button as shown below.

11. At the top of the screen you can click on the button, “view tab: bcitteams.class.com” to switch to the class main room to check if questions have been raised in the chat. Click the same button to go back to the presentation.

12. When finished presenting, click the “stop sharing” button. If you don’t see an “X” in the center at the top of the screen, move your pointer to the top center until it appears. Click the “X” to view the browser tabs.

13. Click the Class tab to go back to the Class main room.
