Take Attendance using the Attendance Tool

This tutorial provides the steps to take attendance using the Attendance Tool.

  1. On the NavBar, click “Course Tools”, “Attendance”.
  2. Click the “New Register” button. Below is part of an example register form showing the name, attendance scheme, “cause for concern (%)”, visibility and user settings.New register form
  3. Enter a name. If you want your students to view their attendance, enter a self-explanatory name such as “click here to view attendance”.
  4. Enter a description.
  5. Set the attendance scheme. There are two schemes: “System Scheme” and “BCIT Default”. The former tracks Present (P) and Absent (A) status. The latter tracks Present (P), Absent (A) and Late (L) status. Note: See how attendance is calculated.
  6. Under “Cause for Concern (%)”, enter a percentage to indicate your minimum attendance requirement. If students do not satisfy this requirement, the “Cause for Concern” icon will be displayed on the Attendance Data page.
  7. Under “Visibility”, choose whether to allow students to view the attendance register.
  8. Under “Users”, choose whether to take attendance for all users or only users in groups/sections.
  9. Under “Sessions”, decide how frequently to track attendance e.g. daily, weekly.
  10. Enter the session names e.g. if weekly, enter “week 1”, “week 2”, and so on.
  11. Add more sessions as applicable.
    Note: Session description can be left blank but all sessions need to be named. If you have added more than needed, delete the excess by clicking the trashcan icon on the far right of the applicable session.
  12. Click the “save” button.
  13. Click “Course Tools”, “Attendance” from the NavBar.
  14. Click the name of your attendance register. Note: Before clicking the name of your attendance register, you can optionally change the attendance scheme by clicking the caret beside the applicable register name and selecting “edit register”. However, once you start to record your attendance, the scheme cannot be changed.Attendance register page
  15. Click the applicable icon below to enter your attendance for the day/week.Icon to enter attendance
  16. Scroll to the bottom of the page and set the pagination so all students appear on one page.Setting attendance status
  17. If all students have the same attendance status, follow the below steps to enter attendance, otherwise go to step 18.

    a) Checkmark the top checkbox above the first student in the list. See below image.
    b) Click “set status”.
    c) Select the applicable status for all students.
    d) Click “save”.
    e) Scroll to the bottom of the page and click “save” again.OR
  18. If the attendance status varies, follow the below steps:
    a) Under the “Attendance Status” column, select the attendance status individually or set the attendance for all as present by following step 17, a-d, and then individually changing the status of students who were not present or were late.
    b) Click “save” at the bottom of the page.Setting attendance status individually
  19. On the NavBar, click “Course Tools”, “Attendance”. Take note of your existing registers (if you created more than one), any “Cause for Concern” percentage, and the number of sessions you are recording attendance.Attendance register screen
  20. Click the name of the applicable attendance register to view your class attendance.
  21. Take note of the below information.Attendance data screen
  22. Click “done” to return to the “attendance registers” page.

Note about deletions:

You can optionally delete attendance registers and sessions. The former, unlike the latter, can be restored. For more information, visit this page.
