Best practices for recording classroom content

Recordings are a great way to make your course materials visually engaging and accessible for students while saving you precious hours when choosing to create (or recreate) your courses. BCIT supports a few tools across its technology teams with each one serving a different purpose.

The following is a short guide for helping you determine which tool may be appropriate for you when choosing to record your online courses and course material along with some notes for best practices.

 

Using tools not on this list

The table below is not meant to be restrictive list. If you wish to use a tool outside the list of tools below, it is recommended that you consult with the BCIT Privacy office to make sure the tool you are using passes the privacy guidelines set by BCIT.

Please also note that ETS and ITS staff will not be able to provide technical support for staff or students for additional tools that are not currently approved for use at BCIT.

OverviewClass for Teams is analogous to a physical classroom in that students can join a classroom whenever an instructor is present. Therefore, it is recommended to use Class for Teams for recording live lectures only (this assumes you have the consent of the individuals being recorded). Recordings made in Class for Teams are tied to the specific course they are created in and cannot be shared (easily) across other courses. For recording asynchronous material or sharing recordings across multiple Learning Hub courses, please use a different tool.Microsoft Teams is predominantly used as the de facto application for conducting online meetings and conferencing, however, we recognize that some faculty prefer using it for its similarity to Zoom. Recordings created through Microsoft Teams can be used to encapsulate asynchronous course materials, lectures, or meetings (this assumes you have the consent of the individuals being recorded).Recordings created by Kaltura Capture capture a maximum of two artifacts at a time, which can include a combination of one computer screen and one webcam, two screens, or two webcams. Kaltura Capture is analogous to screen capture software with the added benefit of using your BCIT ID to upload any recordings you choose into a personal video repository inside the Learning Hub. Once recordings are uploaded into the repository (Kaltura My Media), they can be shared or embedded into any course that you have access to inside the Learning Hub.

Considerations/LimitationsRecordings done by Class for Teams capture the personally identifiable information of everyone who attends the room. This includes names, faces and the audio of students inside courses.

Sharing Class for Teams recordings outside a Learning Hub course that it was created in can be done by allowing the link to be set to "Public". However, this is not recommended as doing so potentially violates BCIT policy regarding students' right to privacy.

Class for Teams recordings can be downloaded from the Recordings tabs as MP4 files with some features like the chat stripped out. However, please note that this does not remove all personally identifiable information that could be used to identify students, staff or administrators.

When choosing to download a recording we strongly advise either editing the downloaded video using third-party software or informing students in writing if the aim is to distribute these recordings outside of the specific Learning Hub course instance.

Contractual instructors who are directly affiliated with BCIT but who need access to recordings can do so by creating an account with the BCIT Class for Teams web application at https://bcitteams.class.com/react/download
Microsoft Teams is supported by the ITS team and not ETS so please consult their guides for information surrounding recordings and best practices.Downloading recorded footage using Kaltura Capture is possible and encouraged, however, please note that enabling the download option for a published video allows anyone who has access to the video the ability to download it as well. If you wish to download a video that has been published into a course, we recommend making a copy of the video in your Kaltura My Media repository and enabling the download option while keeping it unpublished.

Please also note that video recordings in Kaltura Capture are often stitched together but a limitation of Kaltura Capture is that you can only download the primary video footage. If you need to download the secondary video footage, please contact ETS but note there is no way to provide a single file where the primary and secondary recording footage are stitched together. To accomplish this, you will need to download separately the primary and secondary footage and use third-party software to stitch them together into one file.
